I put together a very ambitious schedule to go live with our new operating system with the July 1 statements. I’m pleased to tell you we have achieved that goal.

We all need to thank a small group of people who worked 100’s of hours to input all of the necessary data. My thanks to Renee Toussel, Mary Jo Kinkaid, Dan Stone, and Sally Cousino. Without their support, we would not have done what we did. In 6 weeks, we have created an operating system that 6 weeks ago was a blank sheet of paper: 350 owners personal information, vendor information, 3 months of receivables from members, 3 months of checks written, payroll, RV Storage, Marina, and everything that occurred from April 1 through today, June 18.

We ran statements today and will be sending them out, showing your July maintenance fee, water usage, tree trimming, and any RV Storage or Marina charges. A check for the Marina and RV Storage needs to go with your condo fee check to the lock box in Miami.

If you have not received your payment book and you are not on ACH, contact the office or me immediately.

Please be patient with us. I personally double checked every owner balance, but I’m sure we will have some discrepancies. If you get your statement and you believe it is incorrect, please call or email the office, and we will reconstruct your account. There will be no late fee charges for July, so we have time to work with you to get it right.

I expect some problems. With all of the data we had to enter, it would be easy to have made a mistake.

For those of you on ACH, 200 owners, you have nothing to do. The remainder of you need to mail your payments to the lock box in Miami, with the coupon. Do not take it to a local Seacoast Bank or the Venture Three office! It must be mailed to the address in Miami. If you would like to switch to ACH, send us a voided check and we will do the rest.
